The timetable is the school's operating plan
A school timetable has to satisfy hundreds of constraints at once: every section gets its periods of each subject, no teacher is in two rooms at the same time, labs are shared fairly, senior teachers are not overloaded, and the whole thing survives a teacher's resignation in October. Coordinators often spend weeks on it in Excel, only to find a clash on the first Monday.
SSMS builds the timetable on a grid with clash detection running continuously: a teacher, room or section can never be placed in two places in the same period, and weekly load limits warn when a teacher is over-allocated. Bell schedules — different on Saturdays, shorter in winter — are defined once as period patterns.
Versions, approval and publishing
Each timetable is a version with a status: draft, approved, published, effective from a date. You can keep working on next term's draft while this term's published timetable stays live. Already have it in ASC or Excel? Import it and map the columns instead of starting again.
Substitution without the staff-room shouting
When a teacher is absent, SSMS lists their periods for the day and the teachers who are free in each. Offer the period to one or several free teachers; whoever accepts gets it, and the class and coordinator see the change immediately. Official duty, exam invigilation and leave are taken into account so the same people are not asked every time.
What Timetable & Substitution does
01Grid builder with drag and drop
Build by section, by teacher or by room. Every placement is checked live against the other two views so clashes are shown as you work, not after.
02Clash detection and load limits
Teacher, room and section clashes are blocked; weekly teaching load and consecutive-period limits raise warnings you can see before publishing.
03Period patterns and bell schedules
Define periods, breaks and assembly once per day pattern — including half-days and seasonal timings — and reuse them across classes.
04Rooms and labs
Assign rooms and shared labs as resources so the computer lab or the chemistry lab is never double-booked.
05Versions, approval, publishing
Draft, approve and publish with an effective date. Teachers and parents always see the current published version.
06ASC and Excel import / export
Import an existing timetable from ASC or Excel with column mapping, and export any view for printing or sharing.
07Substitution board
Absent teachers' periods appear each morning with free teachers alongside; offer, accept or assign, with a fair-share view of who has substituted most.
08Feeds lessons and exams
The subject-teacher allocation in the timetable decides who logs lessons and enters marks for each section — no duplicate setup.
