Schools run on people — and on a lot of HR paperwork
Teachers, coordinators, accountants, drivers, attendants, security guards and housekeeping: a mid-size school can have 150 staff on five different kinds of contracts. Their documents sit in steel cupboards, their leave in a register, their policy acknowledgements nowhere at all — until an inspection or a dispute asks for them.
SSMS keeps each employee as one person — the same person who signs in as a staff user, and who may also be a parent of a student — with an employee record and employment periods per school. Departments, designations and grades, employment type (permanent, probation, contract, visiting) and pay basis (monthly, daily, hourly, shift or 24-hour duty) are recorded properly, and sensitive identifiers such as PAN, Aadhaar, bank account and UAN are encrypted and shown masked except to those with explicit permission.
Onboarding, policies and exit — added because schools asked
New joiners get an onboarding checklist by staff category: documents to collect, joining form, appointment letter, login and ID card, bank/PF/ESI registration, induction sessions and assets handed over — each with an owner and due date. HR policies (leave, code of conduct, POSH, child protection, IT use) are published as versions that staff acknowledge in self-service. When someone leaves, the exit flow covers resignation and notice, exit interview, department-wise clearance (library dues, assets, advances, IT access), and a full & final settlement including leave encashment and gratuity, posted to the books.
What HR & Staff Management does
01Employee master
Personal, statutory (PAN, Aadhaar, UAN, PF/ESI numbers, PT state), bank and document details; encrypted and masked, with audited access.
02Employment history
Joining, confirmation, transfer between schools, promotion and exit as dated events — the full service record in one place.
03Onboarding checklists
Templates by staff category with tasks, owners and due dates; progress visible on the HR dashboard; probation tracked to confirmation.
04HR policies with acknowledgement
Versioned policies; publishing a new version asks the right staff to acknowledge it, with reminders and a list of who hasn't.
05Employee self-service
Staff see their profile, payslips, tax sheet, leave balances, attendance and documents, and apply for leave or regularisation online.
06Exit and full & final
Resignation, retirement or contract end; exit interview; automatic clearance where modules hold the data; F&F with gratuity and leave encashment; relieving and experience letters.
