Know where every projector is — and what it is worth

From smart boards to school buses, assets need owners

Schools invest heavily in projectors, smart panels, computers, lab equipment, furniture and vehicles — and then lose track of them. Auditors ask for a fixed-asset register with depreciation; the principal asks why the new projector is in the staff room.

SSMS keeps an asset register — created from a goods receipt or manually — with cost, date put to use, location, custodian and a QR label. Assets are allocated and transferred with history. Maintenance schedules, AMC contracts and repair jobs are tracked. Depreciation runs by category (straight-line or written-down value, rate or useful life, residual value) and posts to the books. Audits are done by scanning QR labels room by room, with exceptions reviewed and approved. Assets are disposed of by scrap or sale, with gain or loss calculated.
