Fees are the lifeline of a school — and its biggest source of disputes
A fee clerk in an Indian school juggles tuition, admission, annual, exam, lab, transport and activity fees; different amounts for new and existing students, for management quota and RTE seats; monthly, quarterly and annual instalments; sibling and staff-ward concessions; late fees with grace days; cheques that bounce; and parents who pay for two children in one transfer. Spreadsheets cannot keep all of that straight, and every mistake ends at the principal's desk.
SSMS keeps fee structures as rules: by school, board, session, class and stream, for new or existing students and by admission category, with each fee head's amount split into instalments with fixed or relative due dates. "Apply fee structure" shows exactly which students it will raise dues for — and never duplicates a due that already exists.
The counter, simplified
The cashier searches a child or a family and takes one payment for several children. Allocation follows due-date priority — oldest dues first — unless an authorised accountant allocates by hand. Partial payments follow your school's policy, any extra goes to the child's wallet as advance, and a numbered receipt prints on your template and is sent to the parent. Cash, cheque, DD, UPI, card and bank transfer are all supported.
Every exception has a proper path
A bounced cheque reverses the receipt and re-opens the dues with a bounce charge. Concessions, scholarships, waivers and refunds go through your approval workflow. Security deposits are refunded only after a no-dues check. Nothing is silently edited; every adjustment is a recorded transaction, and money is stored to the paisa.
What Fee Management & Collection does
01Flexible fee structures
Fee heads with ledgers; structures by class, stream, board, new/existing students and admission category; monthly, quarterly, termly, annual or custom instalments with their own due dates.
02Optional services
Transport, day boarding, swimming, clubs and sports billed only for the periods a child is enrolled, with start and end dates and pro-rata changes.
03Late fee rules
Fixed, percentage, per-day or slab late fees with grace days and caps, added when the receipt is made and taken back if it is cancelled.
04Concessions and scholarships
Sibling, staff-ward, merit and need-based concessions by percentage or amount per head, with approval, re-applied automatically when new dues are raised.
05Family counter collection
One receipt for several children, due-date priority allocation or manual allocation, partial and advance payments, and receipts on your template.
06Wallet, refunds and deposits
Student wallet for advances and canteen spending; refunds and security-deposit returns through approvals with a no-dues check.
07Fee blocking
Hold hall tickets, report cards, TC or ID cards for students with dues — by any balance, overdue amount or days overdue — with an authorised, time-limited override.
08Reminders and defaulters
Scheduled reminders before and after due dates by SMS, WhatsApp or email with a pay link; defaulter lists bucketed by days overdue, exportable to Excel.
How it works
From fee structure to the accountant's ledger, automatically
The accountant publishes the structure, dues are raised for every matching student, parents get reminders with a pay link, payments land as receipts — at the counter or online — and each receipt is posted to the books through your ledger mapping. The principal sees collection, dues and efficiency on the fees dashboard without asking anyone for a report.
