Government data is due every year. The scramble does not have to be.
UDISE+ student profiles, APAAR ID generation and CBSE registration or List of Candidates all ask for the same thing: complete, correct data for every child, in a specific layout, by a deadline. Schools usually discover the gaps in the last week — a missing mother tongue here, a name that does not match Aadhaar there — and the office works late into the night copying values into portal templates.
There is no public government API for schools to push this data automatically. What SSMS does instead is practical: it keeps the extra government fields with each child, shows readiness per class and per student against what each portal needs, and generates the upload files in the current template layout, each with an Issues sheet listing students whose details are incomplete.
APAAR consent, handled with care
APAAR needs parental consent, and declining is a real choice. SSMS keeps a consent register — given, declined or not yet asked, with the date, who recorded it and the signed form. A student whose parent declines is marked accordingly and is never chased; APAAR is never made a condition for admission or exams. When the portal returns PEN and APAAR IDs, you import them back and SSMS checks them before saving.
What UDISE+, APAAR & CBSE Returns does
01Readiness checks
Per class and per student: gender, date of birth, parents' names, mobile, social category, mother tongue, address, pincode, disability type for CWSN — everything UDISE+ asks for, with gaps highlighted.
02Government fields per child
Name as per Aadhaar, Aadhaar checked, BPL, EWS / disadvantaged group, disability type, medium of instruction and APAAR status — stored once, used by every return.
03APAAR consent register
Record consent for many students at once, upload the signed form, and mark refusals properly. Students who declined are never sent for generation.
04UDISE+ student and enrolment files
Student profile files and enrolment by class × gender × category (with CWSN) in Excel, plus an Issues sheet listing what is still missing.
05CBSE registration and LOC
Registration for Classes IX and XI and List of Candidates for X and XII, with subjects and the APAAR ID or the refused / not-generated status the board expects.
06Import PEN and APAAR IDs
Upload the IDs downloaded from the portal; SSMS checks admission numbers, lengths and duplicates before saving and updates each student's status.
