Where Excel and registers genuinely work
Let's be fair to spreadsheets. For a very small school with one office person, Excel is flexible, free, and already known. Registers need no electricity and no training. If your school has under 100 students, collects fees in one instalment and sends no messages to parents, you may not need an ERP yet.
Where they break
The problems start with copies. The same child exists in the admission register, the fee sheet, the class teacher's attendance file and the exam workbook. Each copy is edited separately, and they drift. A phone number is corrected in one sheet; the fee reminder still goes to the old number.
Next come rules: late fees with grace days, sibling concessions, best-of-two-tests, pass criteria in theory and practical separately. In Excel these become formulas that one person understands — until that person leaves.
Then control: who changed this mark? Who gave this concession? Spreadsheets have no reliable audit trail, and sharing a file means sharing all of it, including salaries and Aadhaar numbers.
Finally, parents. Registers can't send an absent alert, a fee reminder with a pay link, or a report card to a phone.
What a school ERP changes
A school ERP keeps one record per child used by every office, stores your rules as rules, logs every important change, limits who sees what, and talks to parents automatically. The measurable gains are usually in fee collection (reminders and online payment reduce defaulters), office time (no re-typing for receipts, report cards and government returns) and fewer disputes.
What about the cost?
SSMS Lite starts at ₹25,000 a year for a school of up to 300 students — a small fraction of one office salary. For most schools, better fee collection alone covers it.
