Cloud or desktop school software?
Many schools still run fee software installed on one office PC. Here is how cloud software compares — and when an on-premise server still makes sense.
- No credit card needed
- Data hosted in India
- Onboarding & training included
- Sign-in from new device verified by OTP
- Fee refund approval traced to the approver
- Nightly encrypted backup verified
The desktop model
Desktop school software is installed on one or a few office computers, with the data on that PC or a local server. It works without internet and the school "owns" the installation. But only people in the office can use it; parents and teachers can't. Backups depend on someone remembering to copy files; a failed hard disk or ransomware can wipe years of records. Updates arrive on a CD or as a visit from the vendor — or not at all.
The cloud model
Cloud software like SSMS runs on managed servers and is used through a browser from anywhere: the office, the principal's phone, a teacher marking attendance, a parent paying fees. Backups are automatic, encrypted and tested; updates — including new board and government formats — arrive without anyone visiting. You need an internet connection, but a basic broadband or mobile connection is enough.
When on-premise still makes sense
Some large groups have IT teams and policies that require data on their own servers. SSMS Enterprise supports this: a dedicated server or on-premise Windows Server installation, with the same software and backups managed by the SSMS team. Most single schools are better served by the cloud.
