"What does it cost?" is the first question most schools ask about ERP software — and the one vendors are slowest to answer. Here is how pricing usually works, what tends to be extra, and how to work out a realistic budget.
The common pricing models
Per student per month or year
Many vendors charge a fixed amount per student. It sounds fair and scales with the school, but watch the details: is it charged on enrolled or active students, are staff and alumni counted, and does the rate change by module?
Per school per year
A flat yearly fee for a school, usually with a student allowance. This is easier to budget and often cheaper for mid-sized schools. Check what happens when you exceed the allowance.
Per module
Some vendors price each module separately — fees, exams, transport, payroll. It looks cheap at first, but costs climb as you add modules, and modules from different price lists don't always integrate well.
Edition-based (bundles)
Bundles of modules — for example Lite, Pro, Premium — at fixed prices, with add-ons for extras. This is the model SSMS uses: SSMS Lite from ₹25,000 per school per year for up to 300 students, with Pro and Premium adding modules, and Enterprise quoted for groups.
What is often extra
- Setup and implementation — some vendors charge a one-time fee; others include standard onboarding.
- Data migration — especially historical fees and results.
- Training — online is often included, on-site usually isn't.
- SMS and WhatsApp — always paid per message or conversation, to the provider or as credits.
- Payment gateway charges — paid to the gateway on online fee collection.
- Hardware — biometric devices, RFID cards, GPS trackers.
- Customisation — special report formats or integrations.
- GST — prices are usually quoted before GST.
How to estimate your real cost
Take a three-year view. Add the subscription for your student numbers (including growth), one-time setup and migration, expected SMS/WhatsApp volume, and hardware. Then subtract what you will save: fewer fee defaulters thanks to reminders and online payment, office hours no longer spent re-typing, and separate software you can retire.
For many schools, a 2–3% improvement in fee collection alone covers the ERP. For a school collecting ₹2 crore a year, that's ₹4–6 lakh.
Beware of "free"
Free school apps exist. Ask how they make money — often through advertising to parents, selling data, or charging later for essential features. Your parents' data is worth protecting.
