Payroll in a school is more varied than it looks

Permanent teachers on monthly salary, visiting faculty paid by the hour, drivers on daily wages, security on 24-hour duty rosters, and contract staff who join mid-month. Add PF with its wage ceiling, ESI eligibility that changes with gross pay, professional tax slabs that differ by state, and TDS that must be projected for the year under the regime each teacher chose. Doing this in Excel is error-prone and stressful every single month.

SSMS keeps all of it as configuration, not code. Salary components are earnings, deductions or employer contributions — fixed, a percentage of another component, a formula or a slab. Structures by grade apply to employees from a date, and revisions keep history so arrears are calculated automatically. Statutory rules (PF, EPS, EDLI and admin charges; ESI eligibility and contribution periods; PT slabs by state; LWF) are effective-dated, so a change in law is an edit, not a software update.

A monthly run with checks and approvals

The payroll run reads the month's attendance summary — paid days, loss of pay, overtime, hours and duties — calculates every payslip, adds one-off adjustments and loan instalments, and projects TDS. It then moves through draft → calculated → verified → approved → locked → paid. Payslips are emailed and visible in self-service; the bank transfer file, PF ECR, ESI, PT and TDS data are generated; and the salary journal posts to the books.
